Updating Inventory at Extended Warehouses
Manage inventory at your Extended Warehouse locations by creating Inventory Transactions (Adjustments) to add or remove units from Quantity on Hand. This can be done one item at a time or in bulk.
Understanding Extended Warehouse Inventory
Your Extended Warehouse operates as a separate fulfillment location with its own inventory levels. Cahoot's order routing system uses inventory availability as a key factor when deciding which warehouse should fulfill each order.
What Happens After Adding Inventory
Once inventory is added at your Extended Warehouse:
- Orders will automatically route to the optimal warehouse based on cost, delivery time, and inventory availability
- You can fulfill orders directly from your Extended Warehouse location
- The system balances order distribution across your fulfillment network
Use this method when updating inventory for a small number of SKUs or making quick adjustments to specific items.
1Log in to your Extended Warehouse Cahoot account (this is separate from your primary warehouse account).
2Navigate to Inventory > Add Inventory Transaction.
3Select a Transaction Type
4Click Add New Item to search through your product catalog.
5Select the item(s) you want to update from the search results and click Select.
6Update the Adjust Qty By field for each SKU to add or remove inventory.
7Click Submit Adjustments to complete the inventory update.
Cahoot provides different transaction types to help you categorize inventory changes for accurate tracking and reporting.
A. Inventory Adjustment Receipt
This is the standard transaction type for most inventory updates. Use this when:
- Adding inventory from new shipments received
- Removing inventory for any normal business reason
- Making routine inventory corrections
- Performing initial Extended Warehouse inventory setup
B. Inventory Adjustment Receipt/Audit
Use this transaction type during physical inventory audits when:
- Performing cycle counts or full physical inventories
- Discovering missing inventory during an audit
- Finding unexpected additional units
- Correcting discrepancies found during verification
C. Inventory Adjustment Receipt/Damaged
Use this type specifically to record damaged or unsellable inventory when:
- Items are damaged and need to be removed from available inventory
- Products are defective and cannot be sold
- Inventory needs to be discarded or disposed of
Keep Inventory Synchronized
Update inventory levels promptly when:
- Receiving new shipments at your Extended Warehouse
- Discovering damaged or missing items
- Performing cycle counts or audits
- Moving inventory between locations
Monitor Inventory Levels
Regularly review your Extended Warehouse inventory to:
- Prevent stockouts that could impact order routing
- Identify slow-moving items
- Plan inventory replenishment
- Balance stock across warehouse locations
Use the Right Transaction Type
Always select the appropriate transaction type for your inventory adjustment to maintain accurate records and reporting.
I added products to my catalog, but they're not showing at my Extended Warehouse. Why?
Products exist in your catalog across all locations, but you must manually add inventory quantities at each warehouse. Adding a product to your primary warehouse does not automatically add inventory at your Extended Warehouse - you must log in to the Extended Warehouse account and add inventory there separately.
Why aren't orders routing to my Extended Warehouse?
The most common reason is zero inventory. Orders cannot route to a warehouse that shows 0 quantity for the required SKUs. Add inventory using the steps above, and orders will begin routing once inventory is available.
Can I set negative inventory quantities?
No. While you can make negative adjustments (removing inventory), the final quantity on hand cannot go below 0. If you attempt to remove more inventory than exists, the system will prevent the adjustment.
How often should I update my Extended Warehouse inventory?
Update inventory immediately when quantities change - when receiving shipments, after cycle counts, or when discovering damaged items. Real-time accuracy ensures optimal order routing decisions.
Can I automate inventory updates?
Cahoot does not support automated inventory synchronization at this time.
What if I don't have my Extended Warehouse login credentials?
Your Extended Warehouse uses a separate account login. If you don't have your credentials, contact Cahoot support to receive them.
Do inventory adjustments affect my primary warehouse?
No. Each warehouse location has completely separate inventory levels. Adjustments made at your Extended Warehouse only affect that location's inventory and do not impact your primary warehouse quantities.
