Creating Inventory Transfer Work Orders
Use an Inventory Transfer work order to move inventory from one Cahoot warehouse to another Cahoot warehouse, such as when rebalancing inventory across regions or consolidating stock at a single location. Each Inventory Transfer requires both a Transfer Work Order and a corresponding inbound for the inventory being transferred.
How to Create an Inventory Transfer
Complete the following steps to create the Transfer Work Order and matching inbound shipment.
- Create a new Inventory Transfer work order. Select the Cahoot warehouse where the inventory is currently stored as the Job Location.
- Enter the destination Cahoot warehouse in Ship To. If you do not know which Cahoot warehouse the inventory should be transferred to, save the work order as a draft using Other Actions and request the destination through the Conversations panel. You may suggest a preferred region, but Cahoot makes the final warehouse determination.
- Select the Shipment Method. Parcel for boxes, LTL for palletized freight, or FTL for a full truckload. Complete the remaining transfer details and submit the work order.
- Create a new inbound for the inventory being transferred. The inbound must contain the same SKUs and quantities as the Inventory Transfer Work Order.
- Enter the Inventory Transfer Work Order ID in the inbound's Reference field so Cahoot can match the inbound to the transfer.
- Before submitting the inbound for approval, open its Conversations panel and include the Inventory Transfer Work Order ID.
- Submit the inbound for approval. Cahoot will make the warehouse assignment for the inbound and notify you when it is approved.
Job Location vs. Ship To
On an Inventory Transfer, both locations are Cahoot warehouses. Job Location is the warehouse where your inventory is currently stored and will ship from. Ship To is the Cahoot warehouse receiving the transferred inventory.
If You Don't Have the Destination Warehouse Address
If you do not know the destination Cahoot warehouse or its address, save the Inventory Transfer Work Order as a draft from the Other Actions dropdown. Open the draft's Conversations panel and tell Cahoot which location or region you would prefer the inventory to be sent to.
Cahoot will confirm the destination warehouse and provide the address. Open the draft, click Edit, enter the provided address in Ship To, and submit the work order.
How Inventory Transfers Ship
Inventory Transfers move using Cahoot's partnered carriers. Select the Shipment Method based on the size of the transfer: Parcel for boxes, LTL for palletized freight, or FTL for a full truckload. You are billed for the applicable freight charges.
What Happens After You Submit the Transfer and Inbound
Cahoot reviews the Inventory Transfer Work Order and corresponding inbound and confirms that the destination warehouse can receive the inventory. Cahoot assigns the warehouse on the inbound and notifies you through the Conversations panel when the inbound is approved or if additional information is required.
The origin warehouse then picks and packs the transferred inventory and hands it to the carrier. The destination warehouse receives the inventory through the corresponding inbound.
Inventory availability during a transfer: Submitting an Inventory Transfer makes the units on the work order unavailable for order fulfillment immediately, even while they are still physically at the origin warehouse.
The quantity is deducted from the origin when the work order is completed and becomes available at the destination after the destination warehouse receives the corresponding inbound. While the inventory is in transit, it does not appear as available inventory in the system.
Transfer only the inventory you can afford to have unavailable during this period, and keep enough inventory at the origin to cover orders until the destination receives the transfer.
Transfers Cahoot Submits on Your Behalf
Cahoot may create Inventory Transfer work orders on your behalf as part of standard inventory rebalancing operations. We will notify you when this occurs.
Cahoot absorbs the freight cost for Cahoot-initiated transfers unless otherwise communicated in the work order's Conversations panel before the inventory ships.
