Creating Inventory Transfer Work Orders
Inventory Transfer Work Orders are used exclusively to move inventory between Cahoot warehouse locations. This guide will walk you through the proper use and creation process to ensure compliance and avoid additional fees.
When to Use Inventory Transfers
Inventory Transfers are ONLY for:
- Moving inventory from one Cahoot warehouse to another Cahoot warehouse
- Redistributing stock within the Cahoot network
- Consolidating inventory at specific Cahoot locations
When NOT to Use Inventory Transfers
DO NOT use Inventory Transfers for:
- Sending to your own location or removing all inventory: Use Inventory Removal Work Orders instead
- Sending to other businesses approved as B2B: Use B2B Work Orders instead
- Customer shipments: Use standard fulfillment orders
- Returns processing: Use Other Work Orders
Consequences of Misuse
Penalties for Incorrect Usage:
- Additional processing fees will be charged
- Shipments may be delayed or rejected
- Repeated violations may result in loss of Transfer Work Order privileges
- Account restrictions may be applied for continued misuse
Understanding Job Location vs Ship To
Key Concept:
- Job Location: The Cahoot warehouse where your inventory is currently stored (shipping FROM)
- Ship To: The destination Cahoot warehouse where you want to send inventory (shipping TO)
Getting Started
1In the top navigation, go to Work Orders → All Work Orders → Assigned to Partner tab.
2Click the Add New dropdown and select Inventory Transfer.
3Enter a descriptive Job Name that clearly identifies the transfer purpose.
Job Name Examples:
- "Transfer SKU-ABC from CA to TX warehouse"
- "Move seasonal inventory to East Coast"
- "Consolidate products at primary location"
Selecting Locations
4Choose Job Location (Origin)
- Select the Cahoot warehouse where your inventory is currently stored
- This is where the inventory will be picked up FROM
5Enter Ship To Address (Destination)
- Enter the complete address of the destination Cahoot warehouse
- This is where the inventory will be delivered TO
- Must be a valid Cahoot warehouse address
Don't Know the Cahoot Address?
- Submit the work order as Draft
- Send a conversation message requesting the Cahoot warehouse address
- Specify which location/region you want to transfer to
- Wait for address confirmation before finalizing the transfer
Adding Items to Transfer
6Add SKUs using one of these methods:
- Enter the SKU and/or Barcode and click Add Item
- Leave both fields blank and click Add Item to search your Product Catalog
- Use filters in the search window to find and select multiple SKUs via checkboxes
7Enter Quantities for each SKU you want to transfer.
Quantity Guidelines:
- Only transfer quantities that are actually available at the origin location
- Consider minimum quantities needed at destination
- Account for any reserve quantities or pending orders
Choose Appropriate Shipping Method
1Select Shipment Method based on your transfer size:
- Small Parcel: For smaller quantities that fit in boxes
- LTL (Less than Truckload): For larger quantities requiring pallets
- FTL (Full Truckload): For very large transfers
2Add Shipment Protection (insurance) if desired for valuable shipments or protection against damages in transit.
Review and Submit
1Double-Check All Information
- Verify Ship To address is a valid Cahoot warehouse
- Confirm SKUs and quantities are correct
- Review that this is truly a Cahoot-to-Cahoot transfer
2Submit Transfer
- Click Submit Work Order if all information is complete
- Click Save as Draft if you need the destination Cahoot address
What Happens Next
3Approval Process
- Cahoot reviews the transfer request for compliance
- Destination warehouse availability is confirmed
- Transfer is approved or additional information is requested
4Use Conversations Panel
- Send a conversation message explaining the transfer purpose
- Include any special handling instructions
- Request destination address if needed
- Clearly state this is for Cahoot-to-Cahoot transfer
- Explain business reason for the transfer
- Provide any urgency or timing requirements
Compliance Checklist
Before submitting any Inventory Transfer:
