Printing Labels with Barcode Scan Verification

Barcode Scan Verification ensures that the right items are shipped to the right customers by confirming that the barcodes on the items shipped match the items in the order. This is required for all fulfillment partners before shipping labels can be printed.

Important: All fulfillment partners must use Barcode Scan Verification to print shipping labels. This prevents mispicks and ensures order accuracy.

System Requirements

1Barcode scanner that supports Code 128 A, B or C

2A desktop or mobile device with the Google Chrome browser

Available Verification Methods

There are three ways to perform scan verification:

  • Pick List Scan Verification (Recommended) - Most efficient method
  • Packing Slip Scan Verification - Good for smaller batches
  • Manual Order ID Entry - Only for single orders or special cases

If your unable to access the Scan Verification page, contact Cahoot Support and request to have this license turned on.

This is the most efficient method for processing multiple orders. The system automatically presents the easiest orders first (single quantity, single line items) before moving to more complex multi-line orders.

Step 1: Create and Print Pick List

1Navigate to Print and Ship My Orders or click the Label Ready number on your Cahoot Dashboard.

2Select one of the Print Pick List options from the Print button dropdown.

Important: When you print a Pick List, Cahoot automatically creates a Label Batch containing all visible orders and removes them from the Print and Ship My Orders page. You'll be redirected to the Label Batch page.

Step 2: Collect Items Using Pick List

3Use the printed Pick List to gather all required SKUs and shipping supplies.

4Bring all items to your packing station.

Step 3: Scan Verification Process

5Navigate to Scan to Verify and Print.

6Scan the Pick List barcode to start working on orders in this batch.

7Scan any product barcode to bring up the first order containing that product.

8The order details will display showing all required SKUs and quantities, plus the shipping label.

9Scan every item and quantity for the order. Each scan increments "Qty Scanned" and decrements "Remaining to Scan". Completed lines show a green checkmark.

10When all items are scanned (all green checkmarks), click Mark as Verified and Print to get the shipping label.

Tip: If you scan an incorrect barcode, you'll get an error message and audible beep. Use Clear to reset individual lines or Clear All to reset everything.

Step 4: Pack and Label

11Place items in the assigned packaging, include the Packing Slip inside the box, tape securely, and affix the shipping label.

Critical: Packing Slips MUST be included inside (not outside) all shipments, except for Ready to Ship (SIOC) products that don't require overpacking.

12After verification, the system automatically resets. Scan the next product barcode to continue with the next order.

Step 5: Monitor Progress and Complete the Batch

13Monitor your progress using the "Orders Verified" counter in the top right of the screen. This shows how many orders you've completed out of the total in your Pick List batch (e.g., "1 of 2 Orders Verified").

14When the counter shows all orders are verified (e.g., "2 of 2 Orders Verified"), you have successfully printed all shipping labels for this Pick List batch.

This method works well for smaller batches when you prefer to print packing slips first.

Step 1: Print Packing Slips in Bulk

1On the Print and Ship My Orders page, select Print Packing Slip from the Print button dropdown.

Important: Default pagination is 200 orders. Printing "all Packing Slips" will be limited to the 200 displayed unless pagination is changed.

2Click Print to send all packing slips to your printer.

Step 2: Scan Verification Process

3Go to Scan to Verify and Print.

4Scan the Packing Slip barcode to display that specific order.

5Scan all items that need to ship with the order.

6Click Mark as Verified and Print or scan the Click Mark Verified barcode shortcut.

Step 3: Pack and Continue

7Pack items with the packing slip inside, tape securely, and affix the shipping label.

8The system resets automatically for the next packing slip barcode.

Use this method only for single orders or special cases.

1Navigate to Scan to Verify and Print.

2Enter the Cahoot Order ID in the search field.

3Follow the same scanning process as other methods.

Note: This method is not recommended for high-volume processing. Use Pick List or Packing Slip methods for efficiency.

Sometimes physical flaws or issues with a product barcode prevent scanning. Learn more here.

Solution: Manual Barcode Entry

1Check Enter Barcode Manually checkbox.

2Select the reason why manual entry is required and add notes.

3Type the barcode value manually, then click Verify.

Post-Shipment Investigation Required:

After using manual verification, if the same item continues having the issue, create a support ticket with:

  • Are all units having the same scanning issue?
  • Scan barcodes into a text editor and share the values
  • Provide well-lit pictures showing the barcode
  • Generate a new Cahoot Barcode and test if the Cahoot-printed barcodes scan properly

Reprinting Shipping Labels

If you have issues printing shipping labels after scan verification:

1Reload the Scan to Verify and Print page.

2Re-scan or enter the Order ID.

3You'll see a message "Order was Verified" - click "Click here" to reprint.

4Uncheck "Do not re-print label" setting.

5Click "Mark as Verified and Print" to reprint the label.

Note: You may need to re-scan verify the products again before accessing the shipping label.

Bulk Reprinting for Shipped Orders

For orders already in "Shipped" status:

1Navigate to Shipped Orders grid.

2Select checkboxes next to desired orders.

3Click Reprint Packing Slip & Shipping Label.
