Monitor and Track Shipments with Reports
Monitor and track your Cahoot shipments using multiple reports and views. This guide covers how to view orders by status, customize reporting columns, and identify which fulfillment locations processed your orders.
Access order status reports from the Orders menu in the top navigation. Each report shows orders in different stages of the fulfillment process:
- Orders: Overview of all orders across all statuses
- Received: Orders that just entered the system
- Processing: Orders being matched to a Cahoot fulfillment partner
- Shipping Label Ready: Orders with labels created but not yet printed or processed
- Shipped: Orders handed to the carrier and in transit to customers
- Back Orders: Orders with out-of-stock items (requires add-on feature)

- Tracking Numbers Report: Shows which Cahoot fulfillment location processed each order

Orders move through different statuses during the fulfillment process. Understanding each status helps you identify which orders need attention:
Received
Order just came into the Cahoot system and is awaiting processing.
Processing
Order is actively being matched to a fulfillment partner based on inventory availability and shipping requirements.
No Match Found
Requires your attention. Orders that could not be assigned to a fulfillment partner. Common reasons include:
- No Cahoot partner has available stock
- Invalid shipping address
- Product dimensions or weight issues
- Shipping service restrictions
Match Confirmed
Order has been assigned to a fulfillment partner and is awaiting shipping label creation.
Shipping Label Ready
Shipping label has been created but has not been printed or processed by the fulfillment partner yet.
Shipped
Order has been handed to the carrier and is in transit to the customer.
Delivered
Carrier confirmed delivery to the customer.
Excluded
Order is no longer being counted for fulfillment. This includes canceled orders or orders you've manually excluded from Cahoot processing.
The All Orders Report provides a comprehensive view of orders across all statuses with extensive filtering and customization options.
Accessing the Report
1Navigate to Orders > Orders in the top navigation.
Filtering Orders
Use the top filter options to narrow your results:
- Date Range: Select From and To dates to view orders within a specific timeframe
- Cahoot Order ID: Search for a specific order by its Cahoot order number
- Sales Channel: Filter by specific marketplace or sales channel
- Sales Channel Order ID: Search using the original order number from your sales channel
- Order Status: Select specific statuses (Received, Excluded, Processing, No Match Found, Match Confirmed, Shipping Label Ready, Shipped, Delivered)
2Click Go to apply your filters and view the results.
Default Columns
Each report displays different columns by default.
- Order ID
- Sales Channel Order ID
- Cahoot Ship By date
- Label Cost
- Customer information
- Order Status
Adding Custom Columns
1Click the three dots next to any column header.
2Select additional columns to display, including:
- Label Carrier and Service Type
- Insurance added
- Packaging dimensions (Length, Width, Height)
- Tracking Number
- Seller information
- SKU details
The Optimizations Report provides a simplified, more focused view of your orders with powerful column-level filtering capabilities.
Accessing the Report
1Navigate to Reports > Optimizations Report in the top navigation.
2Ensure you're on the My Orders tab.
3Filter using the date range fields and click Go.
Key Features
This report offers:
- Simplified view: Displays fewer columns than the All Orders Report for easier scanning
- Advanced filtering: Add filters to any individual column
- Flexible customization: Filter by shipping service, date ranges, label costs, and more
Adding Column-Specific Filters
1Click the three dots next to any column header.
2Select Filter.
3Define your filter criteria for that specific column (e.g., filter by specific shipping service, label cost range, or date).
The Tracking Numbers Report shows which Cahoot fulfillment location processed each order, along with tracking and carrier information.

Viewing Fulfillment Locations
To see which location fulfilled your orders:
1Click the three dots next to any column header.
2Add the Shipper City and Shipper State columns.
3These columns display the physical location of the Cahoot partner warehouse that fulfilled each order.
Q: What's the difference between the All Orders Report and the Optimizations Report?
A: The All Orders Report shows all available order details with basic top-level filters. The Optimizations Report provides a simplified view with more powerful column-level filtering, making it easier to combine multiple specific criteria.
Q: How do I find orders that need my attention?
A: Filter the All Orders Report by the No Match Found status. These orders could not be assigned to a fulfillment partner and require investigation.
Q: Can I see which warehouse location fulfilled my orders?
A: Yes. Use the Tracking Numbers Report and add the Shipper City and Shipper State columns to see fulfillment locations.ย
Q: What does "Excluded" status mean?
A: Excluded orders are no longer being counted for fulfillment. This includes canceled orders or orders you've manually removed from Cahoot processing.
Q: How do I export tracking numbers for my other systems?
A: Use the Orders Report, apply your desired filters, and export the data. This report is specifically designed for bulk tracking number exports. Learn more.ย
Q: Why are some orders stuck in "Shipping Label Ready"?
A: Orders in this status have labels created but haven't been printed or processed by the fulfillment partner yet. This is normal - partners typically process these by 3pm local time. If orders remain in this status beyond expected timeframes, contact support.
Q: How do I see the packaging cost for each order?
A: The Packaging Cost column is only available on the Optimizations Report. To view packaging costs by order use the Packaging Cost column.ย
This shows the cost of packaging materials (boxes, poly mailers, etc.) used for each order. The Packaging Cost column is not available on the All Orders Report or other order views. If your order shipped Original Manufacturer Package (ready to ship), then this column will be blank.ย
Q: Where can I see pick and pack fees for my orders?
A: Pick and pack fees are not displayed on any Cahoot reports. These fees are defined in your Cahoot billing agreement. To review your pick and pack fee structure, refer to your billing agreement documentation or contact Cahoot billing for clarification on your specific rates.
