Fulfillment Partner Roles & Responsibilities
In this article, we discuss the roles and responsibilities for both Shippers and Cahoot. To ensure the continued success of both the Cahoot network and your role as a part of it, it is important to understand the obligations of all participants and obtain full commitment accordingly.

Shipper's Roles and Responsibilities
Fulfillment & Shipping Performance

Verify Partner inventory condition and quantity received within 24 hours of receipt.

Fulfill Partner orders (pick, pack, and ship) by the Cahoot Ship By date, strictly using Cahoot packing slips and shipping labels.

Use pre-assigned packaging materials and instructions for every order to ensure safe delivery.

Orders assigned for fulfillment cannot be reversed, so plan accordingly.

Immediately report any issues with Partner inventory. This includes but is not limited to: loss, spoilage, theft, or damage. You will be held accountable for improper storage or improper handling of inventory in your possession that results in spoilage, theft, delays, loss or damages.

Report any returned shipments within 24 hours of receipt.

Have USPS End of Day SCAN forms scanned by your driver every day.
- Partner inventory should be stored in clearly marked “bin” locations and treated as though it is your own. Any special storage conditions must be followed.

Provide recounts of network inventory as frequently as every 3 weeks, and respond to requests within 2 business days.

Adhere to the Cahoot Policies, Terms of Use, and Code of Conduct at all times.
SKU Selection and Shipment Prep

Use the Cahoot Advance Shipping Notice to obtain Cahoot’s approval to ship inventory into the Network.

Follow the Shipment Prep Guidelines to prepare your shipment to a Partner location.

Monitor inventory and replenish often to avoid stock outs that lead to you losing the Buy Box.
*Buy Box owners have control ~80% of the time. Once you have it, it's best to keep it.

It is important that you champion Cahoot with internal operations folks and overcome any resistance to change. Cahoot can be absolutely transformative for your business and we can create amazing value together, but only if you take responsibility for being the change agent.
Cahoot's Role and Responsibilities

Match highly rated non-competitive merchants based on location and historical order distribution

Optimize and assign orders for fulfillment from Partner locations (nodes) and create the best shipping label from the best location based on pre-defined preferences

Track and report Dollars and Days saved

Track Warehouse Exchange inventory quantity available at all Partner locations

Monitor shipments and promptly report any issues or delays.
Workflow, Timing and Performance

Cahoot will optimize all orders for eligible SKUs if all inventory required to fulfill the order is available at a single Partner location, using merchant-supported carriers and services.
- Cahoot shipping labels are automatically created throughout the business day, Monday through Friday (excluding holidays), until 2:45 PM local time.
All Cahoot Network orders must be shipped the same day the labels are provided (without exception) which will be no later than 2:45 PM local time.
Make sure carrier pickup times are aligned, or plan to drop off at the local hubs. -
Shipping labels will be purchased through Amazon Buy Shipping for all Seller Fulfilled Prime orders.
- Seller is responsible for working closely with carrier Account Reps to schedule dedicated daily pickups at Cahoot partner locations. Schedule pickups after 4:00p local time to support same-day Seller Fulfilled Prime shipping requirements, if applicable.

Cahoot considers Shipping Holidays when assigning orders to Partner locations. For example, if a Seller receives an order on Friday that has an Earliest Ship By Date of Monday, but a Partner location has Monday as a Shipping Holiday, that Partner location will be excluded from the available fulfillment options.
