Managing Shipping Labels: Print, Reprint & Void

Once shipping labels are created in Cahoot, you'll need to manage them throughout their lifecycle - from initial printing to reprinting when needed, or voiding when corrections are required. This guide covers all label management operations in one place.

Quick Overview: Labels move through different statuses (Label Ready → Shipped → Voided), and each status has specific actions you can take. This guide shows you how to handle each scenario.
For Fulfillment Partners: This article is intended for sellers shipping their own orders. If you're a fulfillment partner handling Cahoot orders, you must print shipping labels using the barcode scan verification process, which follows different procedures than described here. 📋 Understanding Label Statuses & Operations

Label Status Explained

Label Ready:

  • Labels have been created and are ready for printing
  • Orders appear in "Label Ready" section of dashboard
  • This is when you do your initial printing

Shipped:

  • Labels have been printed and order is marked as shipped
  • Tracking information sent to sales channels
  • Customer typically receives shipping notification
  • You can reprint labels from this status

Voided:

  • Label has been cancelled and refund initiated
  • Order returns to state where new label can be created
  • Use when corrections are needed to address, service, weight, etc.

Available Operations by Status

Status Available Actions When to Use
Label Ready Print, Void Initial printing or void if changes needed
Shipped Reprint, Void Reprint lost labels or void for corrections
Voided Create New Label, Exclude Order Create corrected label or exclude if not needed
Important: Labels cannot be edited after creation. If you need to make corrections to address, carrier, service, weight, or dimensions, you must void the existing label and create a new one.
🖨️ Printing Labels (Initial)

When Labels Are Ready to Print

After labels are created (either automatically or manually), orders change to Label Ready status. This means your labels are ready for initial printing.

Bulk Printing (Recommended)

1On the Cahoot Dashboard, click the Label Ready number or go to Print and Ship My Orders in the top navigation.

2Click the Print dropdown and select Print Packing Slip & Shipping Labels to print all auto-created labels.

Note: Default pagination is 200 orders, so "print all" is limited to the 200 orders displayed on the current page that are in Label Ready status.

3Click Print to send all shipping labels (and packing slips) to your printer.

Individual Printing

1From any order grid, click on an Order ID to open the order details.

2On the Order Details page, click the dropdown to select Print Packing Slip or Print Packing Slip and Shipping Label.

3Click Print to send the label and/or packing slip to your printer.

Automatic Updates: Upon label creation, Cahoot automatically sends tracking information to your sales channels and updates order status to "Label Ready," which typically triggers customer shipping notifications.
🔄 Reprinting Labels

When to Reprint Labels

Reprint labels when you need a duplicate of an already-printed label due to:

  • Printer ran out of paper or ink during printing
  • Label was damaged (dropped sticky side down, torn, etc.)
  • Label was lost or misplaced
  • Need additional copy for records
Scan Verification Users: If your team uses Barcode Scan Verification, you can also reprint labels via the scan verification process.

1Go to Orders → Shipped.

2Select the Your Shipments tab.

3Select multiple orders using checkboxes, then choose Reprint Packing Slip & Shipping Label or use the dropdown for more options.

Individual Reprinting

1Open any Sales Order page for a shipped order.

2Click the dropdown arrow on the Print Packing Slip button and select your reprint option.

Note: Reprinting does not change order status or send additional customer notifications. It simply generates duplicate labels for your use.
❌ Voiding Labels & Getting Refunds

When to Void Labels

Void labels when you need to make corrections that cannot be handled by reprinting:

  • Customer address needs correction
  • Wrong carrier or service level selected
  • Incorrect weight or dimensions
  • Package type needs to be changed
  • Order was cancelled after label creation
Important: Voiding a label initiates a refund request with the carrier. Each carrier has different refund policies and timeframes (typically several weeks for processing).

Standard Voiding Process

1Navigate to the Sales Order page and click the Void Label button under the Shipments section.

2Select Yes to confirm your void request.

3Once voided, the Create Shipping Label button will appear, allowing you to create a corrected label.

Force Void Option

If you encounter errors when trying to void a label, multiple attempts will reveal a "Force Void Label" option. Click this to bypass the error and complete the void process.

Excluding Orders After Voiding

If an order doesn't need a replacement label (e.g., it was cancelled), you can exclude it to minimize clutter:

1After voiding, click the Exclude Order button that appears.

2This prevents the system from expecting a shipping label for that order.

Restrictions for Cahoot-Fulfilled Orders

Cahoot Fulfillment Restrictions: For orders assigned to Cahoot fulfillment partners, labels can only be voided if:
  • Packing slip has NOT been printed
  • Shipping label has NOT been printed
  • Order has NOT been added to a Pick List

Refund Information

What to Expect:

  • Voiding automatically initiates a carrier refund request
  • Refund processing typically takes several weeks
  • Each carrier has different refund policies and timeframes
  • Some carriers may not support voiding in certain situations
Carrier Support: If a carrier doesn't allow voiding through Cahoot or doesn't support voiding at all, contact the carrier directly for assistance with refunds.

Troubleshooting Tips

Can't Find Void Button?

  • Check if order is assigned to Cahoot fulfillment (different restrictions apply)
  • Ensure label hasn't already been processed in fulfillment workflow

Void Not Working?

  • Try multiple times - "Force Void" option will appear
  • Contact Cahoot Support if issues persist

Missing Reprint Options?

  • Ensure you're looking at shipped orders, not pending orders
  • Check "Your Shipments" tab specifically
