How to Add Users and Assign Roles and Permissions
Cahoot allows multiple Users for your Cahoot Account. Each User is assigned a Role that has specific permissions to access parts of Cahoot, allowing you to ensure your team has the access they need.
For example, a Warehouse user would need access to Orders and Fulfillments, but wouldn't need access to Reports.

Step-by-Step Guide: Adding New Users
1. Navigate to Users & Roles on the top navigation bar on the right
2. On the Users & Roles page, Add New User to create a New User
3. Add User details
Required fields:
Email and Password
These are the credentials the User will use to access Cahoot. The Password and Confirm Password fields must match.
First Name, Last Name: Cahoot tracks activities for the user; you can see which Users create labels, edit Package Manager data, etc.
Role: Assign a role from the dropdown for this User. See Roles and Assigning Permissions for details on each Role.
Additional Fields
Notes: This internal field allows you to record any user-specific notes.
Phone: Phone number for the User
Expiry Date: You can set an Expiry Date and Time for the user account. After this Date/Time, the User's account will not be able to log into Cahoot.
Profile Image: This Image is seen when you view the User account.
Reset Password At Next Login: This requires the User to change their password on their next login. This is defaulted as ON when creating new User accounts, but can be re-checked when editing the User account to force additional password resets.
Active: If this is checked, the User is active and the account can be accessed. If this is unchecked, the User cannot log in.
Locked Out: Checking this will lock the User account. If the User attempts to log in unsuccessfully 5 times, their account will become locked, and Locked Out will be checked. You can edit the User to uncheck this and allow access again.
4. Save to create the User.
5. Provide the new user their password so they can log into Cahoot. They will be prompted to change their password on their first login.

User Management
Once Users are created, they can log in directly to Cahoot with their Email and Password. Sections of Cahoot that they don't have access to will be shown as locked
If they try to access a feature they don't have permissions to, the page will not load:
If a user attempts to log in unsuccessfully 5 times in a row, their account will be locked
From the Users & Roles page, you can see which users are locked:
To unlock an account, Edit the User, uncheck Locked Out, Save.
Users can reset their own passwords, but if their account becomes locked the primary account will need to unlock their account.
Roles and Permissions
Cahoot has several Roles that can be assigned to your Users. You can review each of the standard Roles and their Permissions here, to decide which Roles are best for your team.
Role: Order Fulfillment
This role is designed to have the bare minimum permissions needed to create labels and ship orders, only.
Role: Warehouse User
This role is designed to have all the permissions needed to create labels and ship orders, including processing Work Orders.
Role: Warehouse Manager
This role is designed to have all the permissions needed to create labels and ship orders, including Work Orders, Products, and Order management
Role: Product and Inventory Manager
User is not involved in daily orders but has access to reports and other elements of the system, including creating CFP Bills.
Role: Administrator
All permissions including Support access
