What to Do When an Inbound Has Receiving Issues
If an inbound cannot be received normally, requires unexpected corrective work, or is taking significantly longer than expected, stop processing the affected inventory and notify Cahoot before proceeding. Cahoot will review the issue and provide instructions on how to proceed.
When to Stop Receiving
Stop receiving the affected inventory when an issue prevents the normal receiving process or requires substantial additional work to resolve.
Examples include:
- Products cannot be identified — barcodes are missing, unscannable, or do not match anything on the inbound
- The delivery cannot be matched to a Cahoot inbound, and missing or incorrect carton labels make it impossible to determine which one it belongs to
- Inventory is improperly prepared or packaged and needs prep work before it can be received or stored
- Inventory is mixed or disorganized and requires substantial sorting before it can be counted
- Damage is significant or widespread
- Any other issue is making the inbound unusually difficult or time-consuming to receive
Report and Keep Receiving
- A SKU on the inbound did not arrive
- You received fewer or more units than expected
- A SKU arrived that isn't on the inbound (set it aside, receive everything else)
- Carton or inbound labels are wrong, but the product barcodes scan and match the inbound
- A small number of units arrived damaged
How to Report an Inbound Issue
- Stop processing the affected inventory. Do not attempt to correct the issue yourself if additional work will be required.
- Set the affected inventory aside so it remains separate while Cahoot reviews the issue.
- Take clear photos showing the condition of the shipment and the issue preventing normal receiving.
- Open the applicable Inbound ID and report the issue in the Conversations panel. Include a short description of the problem and attach your photos.
- Wait for instructions from Cahoot before performing additional corrective work or continuing to process the affected inventory.
What About Minor Receiving Issues?
Normal receiving does not need to stop for every minor discrepancy. If you can document and complete the inbound using the standard Cahoot receiving workflow without significant additional work or delay, continue receiving normally.
