Creating FBA Forwarding Work Orders (Sending Inventory to Amazon)
FBA (Fulfillment by Amazon) Forwarding Work Orders allow you to ship inventory from Cahoot warehouses directly to Amazon FBA fulfillment centers. This guide will walk you through the complete process step-by-step and ensure all steps are precisely followed to avoid delays.
Required Information Checklist
Before creating your Work Order, ensure you have:
- Case-Pack Quantities for all SKUs you're sending
- Matching SKU Names between Amazon and Cahoot
- FBA Labels in 4x6 Thermal Format (Box Labels, Shipping Labels, Pallet Labels)
- Reviewed Amazon's FBA Requirements
Understanding Shipment Methods
Carrier Selection: Select your Preferred Shipping Carrier to ship this Work Order
- Amazon Account (Recommended): Best for compliance with Amazon's delivery requirements
- Cahoot Partnered Carrier: Alternative option with potential cost savings - notify Cahoot if you choose this option
Choose the appropriate method based on your shipment size:
- Small Parcel (SPD): Individual boxes, each under 50 lbs and 25 inches on any side
- Less than Truckload (LTL): Cases or boxes stacked on pallets, typically shipped via Amazon's freight provider
Important: Your SKU names in Amazon Seller Central must exactly match your SKU names in Cahoot. If they don't match, the warehouse won't know which FBA labels belong to which products when sending more than one item.
If SKU names don't match:
- Create a SKU mapping table showing Amazon SKU → Cahoot SKU
- Upload this file under Box Labels in the Shipping Documents section

Example: If your Amazon SKU is "SHIRT-RED-L" but your Cahoot SKU is "SH001-R-LG", provide a mapping table so the warehouse can match the correct FBA labels to the right inventory.
1In the top navigation, go to Work Orders → All Work Orders → Assigned to Partner tab.
2Click the Add New dropdown and select FBA Forwarding.
3Enter a unique Job Name and select the Job Location where your inventory is stored.
Adding Your SKUs
4Add SKUs using one of these methods:
- Enter the SKU and/or Barcode and click Add Item
- Leave both fields blank and click Add Item to search your Product Catalog
- Use filters in the search window to find and select multiple SKUs via checkboxes
5Enter Quantities for each SKU that match your case pack quantities.
6Select Your Preferred Shipping Carrier
- Amazon Account (Recommended): Uses Amazon's carrier labels and freight providers - preferred for FBA compliance
- Cahoot Partnered Carriers: Uses Cahoot's UPS labels for small parcel or discounted freight for LTL/FTL
Small Parcel Deliveries are for items packed in individual boxes that are individually labeled for delivery.
SPD Requirements - All boxes must:
- Have an FBA shipment ID label and carrier shipping label
- Not weigh more than 50 lbs (unless containing oversize items)
- Not exceed 25 inches on any side (unless containing single oversize item)
SPD Process Steps
1Select Small Parcel under "How Would You Like to Ship" dropdown.
2Create and upload FBA Labels from Amazon Seller Central:
- FBA Box Labels (4x6 Thermal Format)
- FBA Shipping Labels (4x6 Thermal Format)
3Submit and Complete: Cahoot will affix the FBA Box Labels and Shipping Labels to each case and ship them out. The Work Order will be marked Completed when all cases have shipped.
Less than Truckload (LTL) shipments are for cases or boxes stacked onto pallets, typically shipped with Amazon's freight provider.
LTL Process Steps
1Select LTL under "How Would You Like to Ship" dropdown.
2Create and upload FBA Box ID Labels from Amazon Seller Central (4x6 Thermal Format).
3Palletization: Cahoot will affix FBA Box Labels to each case and palletize them. Once complete, Pallet Dimensions and Weights will be added to the Work Order under the Packing Information section.
Scheduling Your Amazon Freight Pickup
4Continue Your Amazon Shipment Plan: After Cahoot adds pallet information to your Work Order, return to Amazon Seller Central to continue your FBA shipment plan.
Critical Timing Requirement:
Amazon requires you to schedule a Freight-Ready Date BEFORE it will generate your pallet labels. This is when Amazon's system creates the pallet labels and BOL.
Recommended Safe Lead Time: Schedule your Freight-Ready Date at least 3-5 business days after the pallet information appears in your Cahoot Work Order. This gives Cahoot sufficient time to print and affix pallet labels before the carrier arrives.
5In Amazon Seller Central:
- Enter the pallet dimensions and weights from your Cahoot Work Order
- Select your Freight-Ready Date (the pickup date)
- Amazon will generate your FBA Pallet Labels
- Download the pallet labels in 4x6 Thermal Format
6Upload Pallet Labels to Cahoot: Upload the downloaded pallet labels to the Shipping Documents section of your Work Order.
7Cahoot Applies Labels: Once pallet labels are uploaded, Cahoot will print and affix them to all four sides of each pallet. The Work Order status will change to Pending Pickup when this is complete.
Bill of Lading (BOL) and Final Pickup
8BOL Generation: On the morning of your scheduled Freight-Ready Date, Amazon will generate the Bill of Lading (BOL) in Seller Central.
- Download the BOL from Amazon Seller Central
- Upload the BOL to your Cahoot Work Order's Shipping Documents section
9Confirm Pickup Details: Send a conversation message to Cahoot confirming:
- Your scheduled pickup date
- That the BOL has been uploaded
- Any special carrier instructions
The Work Order will be marked Completed when all pallets are picked up.
Amazon Pallet Requirements
Pallet Specifications:
- Height: Cannot exceed 72 inches
- Weight: Single pallet cannot exceed 1,500 lbs
- Pallet Type: Wood, GMA standard Grade B or higher, 40×48 inches with 4-way access
- Box Overhang: Boxes must not overhang pallet edges
- Securing: Must be secured with plastic or stretch wrap
- Box Limits: Individual boxes cannot exceed 25 inches on any side or 50 lbs (unless single oversize item)
- Oversize Items: Items over 100 lbs or measuring more than 80" long or 30" wide must be on their own pallet
- Sets: Multiple boxes sold as sets weighing over 100 lbs total must be on their own pallet
Note: If you selected Cahoot's Partnered Carriers:
- Cahoot will arrange freight pickup once the pallets are ready for pickup
- No additional BOL creation needed in Amazon
- Send conversation confirming you want to use Cahoot's freight account
